Refund & Cancellation Policy

Clear rules for deposits, cancellations, recurring services, hosting plans, and how we resolve billing questions—alongside your written agreements.

1. Overview

World Wide Labs is committed to fair, clear billing. This Refund and Cancellation Policy explains what happens if you cancel services or dispute a charge. Your signed Statement of Work (SOW) or service agreement controls if it says something different from this page.

2. Project-Based Work

Non-refundable deposits

Deposits and retainers collected at the start of an engagement are non-refundable. They reserve capacity on our calendar and cover discovery, planning, and setup.

Cancellation after work begins

If you cancel after work has started, you remain responsible for all fees for work completed and in progress, billed at the rates in your SOW.

Prepaid blocks

Unused portions of prepaid service blocks may, at our sole discretion, be credited toward future work. Prepaid blocks are not refunded as cash.

Deliverables

After you pay in full for all work completed through the cancellation date, we will provide the deliverables finished up to that point, as defined in your agreement.

3. Recurring and Monthly Services

Notice to cancel

Either party may end a recurring or monthly agreement with thirty (30) days’ written notice.

Fees through the notice period

You owe all recurring fees that fall within the 30-day notice window, whether or not you use the service every day in that window.

No partial-month refunds

Monthly fees are billed in full calendar months. We do not refund or prorate for partial months unless your written agreement explicitly says otherwise.

4. Hosting and Maintenance

Minimum term

Some hosting or maintenance plans include a minimum commitment period stated in your agreement.

Early termination

If you end hosting or maintenance before the minimum term ends, the remaining monthly fees for the rest of that term become immediately due.

After the minimum term

Plans typically renew month-to-month unless your agreement says otherwise. You may cancel with thirty (30) days’ written notice.

5. Billing Disputes

If a charge looks wrong or you disagree with an invoice, contact us before disputing with your bank:

6. How We Handle Disputes

We take billing questions seriously. After you reach out, we will investigate and respond within five (5) business days whenever practicable. Many issues are resolved quickly once we review the SOW, invoices, and payment history together.

7. Chargebacks

Please contact us first and give us a reasonable chance to fix a billing problem before you file a chargeback or payment dispute with your card issuer or bank.

  • Chargebacks filed without prior contact may result in suspension of active services
  • We may revoke access to deliverables or systems until the matter is resolved
  • We may pursue collection of outstanding balances and document the engagement for the card network

8. Records

We maintain agreements, authorizations, invoices, and delivery records. We provide supporting documentation to card networks when required to respond to disputes.

This policy works together with your SOW and payment authorizations. If anything here conflicts with a document you signed, the signed document usually controls.
